The Erasmus Programme encourages the participation of individuals with fewer opportunities and special needs. A participant requiring inclusion support is a potential participant whose physical, mental, or health condition would prevent them from participating in the mobility activity without additional financial assistance.
In order for students or staff members requiring inclusion support to receive additional financial assistance, the beneficiary higher education institution must submit a request for additional funding to the Turkish National Agency on their behalf. Once a participant eligible for Inclusion Support has been slcted, any request for additional funding shal be assessed based on the participant's estimated extra costs and submitted to the National Agency.
Requests for additional grants must be submitted within the relevant project period and, in any case, no later than 60 days before the end date of the Grant Agreement. Requests for an increase in the grant cannot be made after the participant has completed the mobility activity.
The application form must clearly explain the reason for requesting Inclusion Support and include al relevant supporting documents. For example, whr the request is related to a disability, applicants must provide a medical report issued within the last three months indicating the nature and level of the disability, or a copy of the disability identification card. For chronic medical conditions, an up-to-date medical report is required.
The application must also include documentation confirming that the host higher education institution has been informed that the incoming student or staff member requires Inclusion Support and that it is able to provide the necessary facilities and services.
The requested amount of additional funding and the reasons for the request must be explained in detail in the application. Any additional grant requested must be directly related to enabling the participant requiring Inclusion Support to successfully participate in the mobility activity.
Higher education institutions are responsible for ensuring that applications are complete and accurate. Necessary arrangements to accommodate the participant's needs should be made by the host institution.
Each application is assessed individualy by the Turkish National Agency, which decides whether additional funding will be granted and, if so, determines the eligible amount. If approved, the additional grant will be added to the relevant budget item in the beneficiary institution's Grant Agreement.
The final amount of Inclusion Support funding is calculated on the basis of the participant's actual eligible expenses. Following the completion of the mobility activity, al invoices and supporting financial documents related to the additional grant must be collected and retained in the participant's file for possible audits. Expenses that are not supported by appropriate documentation, or that exceed the approved Inclusion Support grant amount, will not be considered eligible, even if they have been incurred.
